Voicemail system to be replaced

All employee and student voicemail boxes will be bulk migrated to the new system Jan. 10. Employees and students may update their name, greeting and password beginning Dec. 16 by dialing 5-0000. Enter “0000” when asked for your security code. The system will then provide a simple set of prompts to complete the set up, which should take no longer than 5 to 10 minutes for most users.
Users who are not able to set up their voicemail box during the early setup period will be prompted to do so the first time they log in to their voicemail box after Jan. 10. Beginning then and moving forward, users will dial 6-0000 (615-936-0000) to access their voicemail as they have in the past. The forwarding instructions on phones will not change, and the user menu will be the same as the existing menu. After Jan. 10, callers will hear a generic greeting until the user updates his or her information.
Caller’s menus, also known as phone trees, will also be migrated to the new system after the bulk migration of individual voicemail boxes. ITS will work with departments that use those menus on a one-by-one basis starting in early 2010. All caller’s menus, of which there are approximately 500, are expected to be moved to the new system by June 2010.
Service to both voicemail and caller’s menus will be uninterrupted throughout this process.
The system that runs the existing voicemail service is more than 18 years old. It currently supports 9,225 voicemail boxes and is at 97 percent capacity. Increased demand for voicemail boxes, particularly at 100 Oaks and Williamson County medical clinics, along with the age of the existing system, were the drivers behind the replacement.
The old system is about the size of two refrigerators side by side. The new system will take up the space of approximately three pizza boxes in ITS data centers, where space is at a premium. In addition to requiring less space and power, the new system will generate less heat and will be easier to maintain.
The Vanderbilt voicemail system currently fields approximately 5,700 calls per hour during its busiest times, which are usually Monday mornings.
